The short answer

Managed I.T. for a law firm costs $150 to $225 per user per month at CIO Landing. A 25-person firm pays $3,750 to $5,625 per month. A 50-person firm pays $7,500 to $11,250 per month.

  • One plan, one price range. Where you land depends on the complexity and maturity of your environment.
  • Day-to-day I.T. is included. Help desk, monitoring, patching, security tools, backup, onboarding and offboarding, and a Client Success Manager are part of the monthly fee.

What drives the cost of managed I.T. for a law firm?

Three things set your bill: your user count, where you land in the per-user range, and the minimum monthly fee in your agreement.

We sell one plan, with the full security stack on every user, because a firm holding client files needs that protection everywhere. That keeps pricing simple, and it keeps every person at your firm covered the same way.

What moves you within the range

The range reflects the complexity and maturity of your I.T. environment. A firm with cloud-based systems, current devices, and clear documentation sits toward the lower end. A firm with on-premises servers, older equipment, several offices, or undocumented systems sits toward the higher end. We confirm exactly where you land on a 30-minute discovery call.

How headcount changes the bill

Your monthly fee follows your user count. Add an associate, a paralegal, or a legal assistant and your fee goes up. Lose one and it goes down, subject to the minimum monthly fee set in your agreement.

How much does managed I.T. cost by law firm size?

A 25-user firm pays $45,000 to $67,500 per year, and a 200-user firm pays $360,000 to $540,000 per year. The table multiplies $150 and $225 by your user count.

UsersMonthly costAnnual cost
25$3,750 to $5,625$45,000 to $67,500
50$7,500 to $11,250$90,000 to $135,000
100$15,000 to $22,500$180,000 to $270,000
200$30,000 to $45,000$360,000 to $540,000

These totals cover the monthly plan only. Hardware, software licenses, projects, vCIO strategy, and after-hours work are priced separately. Every term, including the agreement length and onboarding fee, is on our pricing page.

Worked example: a 50-person firm

A firm with 12 partners, 18 associates, and 20 staff has 50 users. At $150 per user, the monthly fee is $7,500. At $225 per user, it is $11,250.

For context, the American Bar Association’s 2024 Budgeting and Planning TechReport found that 65.2% of surveyed firms budget for technology. Among firms with a technology budget, 53.7% said it increased compared to the prior year.

What does the monthly price include?

The monthly fee covers day-to-day I.T. for every user at your firm. Here is what is in it:

  • Help desk support for your attorneys and staff
  • 24/7 device monitoring, security updates, and patching
  • Microsoft 365 or Google Workspace management
  • Security tools: AI antivirus, managed detection and response (MDR), disk encryption, email protection, and DMARC monitoring
  • Security awareness training for your team
  • Backup and disaster recovery
  • Employee onboarding and offboarding
  • A Client Success Manager and a Technology Alignment Manager
  • Technology Business Reviews and I.T. strategy
  • Management of your other I.T. vendors

When a new associate starts on Monday, or a paralegal leaves on Friday, the accounts, devices, and access are handled as part of the plan.

Response times

We respond based on how many people are affected:

SituationResponse target

Monitoring runs 24/7. The help desk is staffed Monday to Friday, and urgent after-hours issues reach an on-call technician.

What should a law firm look for in a managed I.T. quote?

A law firm should look for protection of client data, fast recovery when systems fail, and a clear plan for AI. A price that leaves out any of these costs more later.

  • Client confidentiality. Your firm holds case files, privileged emails, and financial records. Ask which security tools every user gets, and who watches for threats around the clock. Law firms are a target for data extortion. Read how it works in our post on law firm data extortion and the Silent Ransom Group.
  • Downtime. When practice management software goes down, billing, document access, and time tracking stop. Ask for written response times and a backup and disaster recovery plan.
  • AI use. Attorneys already use AI for document review, legal research, and contract analysis. Ask how the provider keeps client information protected when your team uses AI tools. See what we wrote about AI chats and lawsuits.
  • Client security audits. Corporate clients often review their law firms’ security. Ask whether the provider will support you through those reviews.

Our I.T. support for law firms page covers how we work with legal teams.

How do you compare managed I.T. quotes side by side?

Put every quote on the same basis: a monthly total for your headcount, a list of what is excluded, and the contract length. Then ask each provider these questions:

  1. What is the all-in monthly total for my exact number of users?
  2. Which security tools are included for every user, and which are add-ons?
  3. Are hardware, software licenses, and projects in the price? If projects are included, what are the limits?
  4. What is the onboarding fee, and how long is the agreement?
  5. What happens to my fee if my headcount goes up or down?
  6. Can I read the contract before a sales call?

At CIO Landing, the answers are on our pricing page and in our published Master Services Agreement. If a quote looks cheap, check what is missing from it before you compare the totals.
